KeyesArchive (Archive and Index Spooled Files)

 

KeyesArchive archives IBM i spooled files onto your IFS and optionally indexes the individual documents or reports within the spooled files. It gives you all the tools needed to locate and restore whole spooled files or individual documents, whenever you may need them.

 

KeyesArchive contains everything needed for browsing through your archived documents so you can convert them to PDF files or TIFF images, view or print them. KeyesArchive can password encrypt the generated PDF documents, if you supply user and/or owner passwords up to 32 characters long. It also contains built in links for faxing and e-mailing.

 

Spooled files can be standard *SCS printer files, *AFPDS, or *USERASCII. Complete spooled files, including all their attributes, are saved and restored from the IFS and optionally compressed. This ensures forward and backward compatibility with all other software packages.

  • Simple Installation

    The software can be easily downloaded from our website and installed on any IBM i (i5, iSeries, AS/400) computer. An install procedure will automatically create all of the necessary objects for you, in the KeyesArchive library.

     

  • Application Program Interface

    We have included an API in the system so that you can archive spooled files directly from your applications. The API is a command that you can easily include in any of your CL programs.

     

  • Output Queue Monitoring

    We have also included an output queue that is monitored so that you can route spooled files for automatic archiving. The spooled files will be immediately archived with any indexing that you have defined. Each spooled file is then either held, deleted, or moved to another output queue and released, as you define.

    10/30/2014 - Use PJL to set Duplex Printing for PDF's

    Duplex printing of PDF's has been enabled by wrapping PJL (Printer Job Language) around PDF spooled files.  The original spooled file attribute for Duplex is used when direct printing PDF spooled files.

    10/07/2014 - Add Java Archive Compression

    File compression using the built in Java Archive Compression has been added.  Compression reduces the size of archived spooled files in the IFS to roughly 25%.

    10/07/2014 - Add extended Spooled File Identification Parameters

    Additional parameters to isolate spooled files for *ANY Job System Name and *LAST Creation Date have been added to the system.  This should prevent duplicate Spooled File error messages when old spooled files are kept on a system.

    10/07/2014 - Create Searchable/Color PDF's from *AFPDS Spooled Files

    Host Print Transform will be used to convert *AFPDS spooled files directly into Full-Color Text based PDF documents that will be searchable.

    04/09/2014 - Add Lock Sort fields

    When browsing your Archives by Indexed fields a new feature will allow you to Lock a Sort field to a specific entry. The Position to field will then select entries for the second Sort field. You can also Lock the second Sort field to a specific entry and then select entries from the third Sort field. This will allow users to quickly search for and locate a specific archive even with a large number of entries in the Index Master file.

    04/02/2014 - Pass Spooled File Attributes for printing

    The attributes that control the number of copies, the source drawer, and duplex printing is extracted from your original spooled file and used if you automatically send the generated PDF to a PDF printer.

    04/10/2013 - Allow new directories to be created

    A new feature has been added to allow new directories to be created when PDF's are being saved to the IFS. If the last directory in the Path does not exist it will be automatically created.

    This was done to help support our customers that may use kLink to distribute private content to their users. Private content for a user is placed in a directory named after that user's customer or account number. This new feature will allow new directories for each user to be automatically created for you.

    01/16/2013 - Add PDF Printing capability while archiving

    A new feature has been added to allow PDFs to be created and sent directly to a PDF capable printer during the archiving process. The PDFs can either be discarded or saved to the IFS after printing.

    04/28/2011 - Add ¬UI substitution value to the Work with Spooled Files screen

    A new substitution variable has been added to the Work with Spooled Files screen so that you can include the User-Id into any of the archiving parameters. ¬UI will become the User-ID of the job that created the spooled file.

    04/28/2011 - Add Control over Spooled File processing using User Data field

    The 'Work with Spooled Files' program will now accept the User Data field as the key to the file. As each spooled file is processed through the system, the User Data field is used to chain to the file. If the value does not exist, then the spooled file name is checked to see if an entry exists for it. This will allow you to process spooled files that all have the same name (like QPRINT) with different controls.

    12/01/2008 - Add Archiving of PDF's

    PDF documents can now be archived along with spooled files. This can speed up the viewing of archived documents, as the PDF's are already generated. The PDF's also have a Creation Date added to them, which should allow an archived PDF to be used as a legal original.

    08/05/2008 - Add Password Encryption for PDF's

    You may supply user and/or owner passwords, if you want to encrypt the PDF documents that KeyesArchive creates. The passwords can be up to 32 characters long, each. Users will be limited to opening and possibly printing and annotating the PDF's. Otherwise, only an owner will be able to change a PDF.

    04/21/2008 - Add Greek character set

    Support for the Greek Code Page 875 was added to KeyesArchive.

    03/13/2008 - Added Sorts in Descending Sequence

    The Browse by Index Fields program has been enhanced to allow you to change the sorts to be descending, instead of the usual ascending sequence. If you sort dates in descending sequence, as an example, the newest entries will be on top.

     

  • KeyesArchive Version 3.0

    11/28/2007 - Added Archiving of Stream Files

    A new set of programs have been added to allow archiving of other types of documents to be included with the archived spooled files. It allows you to save any type of PC document, from scanned images to word processing documents. Each type of stream file can also be indexed while it is being archived. Using the HTTP server, the document is shown to the operator along with a list of fields, like Document date and Customer number, that can be picked up and stored with each document. Indexing allows users to easily find archived documents, when they need them.

    11/28/2007 - Added automatic security to the HTTP server

    Automatic security has been added to the HTTP server to limit what a user can do with the archived documents. A normal user will only be able to View, Fax, E-mail, Print or create PDF's out of the archived documents. A user will need at least Job Control or Spool Control in order to be able to Delete, Move, Rename, or Rearchive any of the existing archived documents.

    10/05/2007 - IBM i 6.1 Compatible

    Compiled all programs to be IBM i 6.1 compatible.

    11/06/2006 - Added Automatic conversion to PDF or TIFF images while archiving

    A new parameter was added that will allow you to automatically convert your documents to Images, while it is archiving your spooled files. It will be able to either make one large document, or it can burst the file into individual documents, while archiving the spooled files. The Images will be placed in the IFS directory of your choice.

    11/06/2006 - Added Document Expiration periods

    A new parameter allows you to set the number of months that you want to keep each type of document within the archive system. After a document expires, it will be removed from archive. You can also set your documents to never expire.

    11/06/2006 - Added HTTP Server

    This new server will allow users to display and control their archived documents, from their PC's using any web browser. The HTTP Server gives a PC user the capability to convert the archived documents into PDF's and view them. They will also be able to restore documents, print them, rename them and even fax or e-mail the documents.
